1. Overview
This Privacy Policy explains how NXGN Tools (“we”, “us”, or “our”) collects, uses, and shares information when you use Parlo (the “Service”).

2. Information we collect
Account data. Email address and authentication details needed to sign in (such as one-time passcodes).
Profile and preferences. Optional onboarding choices (for example, practice goals and speaking level), plan selection, and settings.
Practice content. Topics, structure notes, recordings, transcripts or speech signals used for coaching, and session feedback metrics (such as pacing or filler indicators).
Analytics and usage data. We collect product analytics about how people use the Service so we can improve it. This includes pages or screens viewed, buttons and calls to action clicked, feature usage, session timing, device or browser type, approximate diagnostics, and similar technical signals. For onboarding, we track which steps you start, complete, skip, or leave so we can see where users drop off and fix confusing parts of the flow. We aim to analyze this information in aggregate or using anonymous or pseudonymous identifiers rather than to profile you by name.
Payment data. Billing is typically handled by payment processors. We receive subscription status and limited billing metadata, not your full card number when processed by a third-party provider.
3. How we use information
We use information to:
- Provide coaching, feedback, progress, and account features
- Authenticate you and secure the Service
- Process trials, subscriptions, and customer support
- Run anonymous or aggregated product analytics to understand usage, measure conversion funnels, and see where users drop off during onboarding and other flows
- Improve product quality, reliability, onboarding, and user experience
- Send service notices (billing, security, material updates)
- Comply with law and enforce our Terms
We do not sell your personal information.
4. Analytics
We use analytics tools (which may be provided by third parties) to collect the analytics and usage data described above. These tools help us answer questions such as which onboarding steps users complete, where they abandon setup or trial signup, and which features are used most.
Analytics events are generally tied to an anonymous or pseudonymous ID and may later be associated with your account after you sign in so we can understand the full journey. We use this data to improve Parlo, not to sell advertising based on your activity.
5. Sharing
We may share information with:
- Service providers who help us host, authenticate, store media, run product analytics, analyze reliability, or process payments, under appropriate confidentiality obligations
- Authorities when required by law or to protect rights, safety, and security
- A successor entity if we are involved in a merger, acquisition, or asset transfer, subject to this Policy’s spirit
6. Retention
We retain account and practice data while your account is active and for a reasonable period afterward as needed for backups, disputes, legal obligations, and service integrity. Analytics data is kept for as long as reasonably useful to improve the Service, then deleted or aggregated. You may request deletion as described below.
7. Security
We use reasonable administrative and technical measures to protect information. No method of transmission or storage is completely secure; please use a strong email account and contact us if you suspect unauthorized access.
8. Your choices
You may access or update certain account information in the app, cancel a subscription, or request deletion of your account by emailing [email protected]. We may retain limited records when required by law or for legitimate business needs (for example, billing records), and some aggregated analytics that no longer identify you.
9. Children’s privacy
The Service is intended for adults in workplace contexts. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). Contact us if you believe a child provided information so we can delete it.
10. International users
If you access the Service from outside the country where we operate, your information may be processed in other locations. By using the Service, you understand that information may be transferred to and processed where we or our providers operate.
11. Changes
We may update this Privacy Policy from time to time. We will post the revised version on this page with an updated effective date. Material changes may also be communicated by email or in-product notice when appropriate.
